This policy covers the Tropic Tutor website and invited early-access accounts. Joining the list does not create an account or a paid subscription. The account sections below apply when you receive access and use those features.
Joining the early-access list
We collect your email and whether you are a student, parent or teacher. You can optionally provide your first name, country, exam level and subject preferences. We record when you joined, the signup page, and the version and date of your launch-update choice.
If you arrive through a campaign, the form also includes campaign labels, the original landing-page path and referring website domain. These help us understand which pages bring useful early-access requests. We do not include arbitrary URL parameters or advertising click identifiers in the lead record. This information is held in memory while you browse and saved with your request when you submit the form.
Invitations and optional emails
Submitting the form asks us to save your request and email a confirmation and an invitation when relevant access is ready. Occasional launch updates are a separate, unchecked choice. Declining updates does not prevent you from joining. Cookie permission does not subscribe you to email.
Optional emails include an unsubscribe link. Unsubscribing stops nonessential emails, including invitations. Necessary account and service messages may still be sent. Rejoining with the same email does not change existing preferences or reverse an unsubscribe.
Account and learning information
For invited accounts we process sign-in and profile details, your chosen subjects and relevant school or exam preferences. To provide the study tools, we store lesson progress, practice answers and results, revision notes, study plans, tutor conversations, support requests and any work you choose to upload. Avoid including other people’s information, passwords or sensitive personal details in notes, uploads or tutor messages.
We use this information to provide access, remember your work, offer learning feedback, operate family or classroom features you choose, answer support requests and protect the service. Learning progress and automated feedback are study aids, not official examination results.
Family and classroom sharing
Parents and teachers do not automatically receive a learner’s activity. Connections and sharing are managed through the relevant in-app invitation and permission steps. Review the information shown in those steps before connecting an account or joining a class.
Service providers and AI
We use providers for hosting, authentication, database and file storage, email and background processing, including Vercel, Supabase, Upstash, Resend and Inngest. AI-supported tutoring, content creation and written feedback use Anthropic. Relevant questions, lesson context, submitted answers or uploaded work may be processed by the AI provider to deliver the feature you use. We do not send your password or payment-card details to the AI provider.
Where payment features become available, CyberSource, a Visa company, processes card payments. You enter your card number and security code directly into CyberSource’s secure fields, so they never reach Tropic Tutor’s servers. Tropic Tutor stores subscription and transaction records needed to manage access and support, together with a token that lets CyberSource charge your renewals, but not your full card number. Paid terms will be shown before a purchase.
Providers may process information outside your country. We do not sell your personal information. Contact us if you need information about the providers involved in your account.
Website analytics and advertising
Optional analytics and advertising tags load only after the relevant cookie choice. Advertising cookies also require you to confirm that you are 18 or older. That confirmation is a browser preference, not identity verification. We do not infer adulthood from selecting Parent or Teacher.
When permitted, advertising partners can receive a website visit or a successful lead event with a random event identifier. Our signup integration does not send them your email, name, answers, marks or tutor messages. We do not use student learning records to create advertising audiences. Security and retention
Hosting and service providers may process technical details such as IP address, browser information and security logs. The signup service uses a short-lived, hashed IP value to limit abuse. We restrict staff access according to their roles.
We keep early-access details while managing your request and chosen updates. You can request deletion at any time. Account records are retained to provide the service and handle support; some payment, security or legal records may need to be retained after an account closes. We retain limited suppression information to respect deletion and unsubscribe requests. Contact us for the records and retention circumstances that apply to you.
Young people
If you are under 16, check with a parent or guardian before joining. A parent can join using their own email. Parents and guardians can contact us about a child’s information. Advertising cookies remain off unless the visitor confirms they are 18 or older and separately permits them.
Your choices and requests
You can ask for a copy, correction or deletion of your information, or ask us to stop nonessential emails. Contact hello@tropictutor.com using the email associated with your request or account. We may need to confirm your identity before releasing or deleting account information.
We aim to respond within 30 days. Depending on where you live, you may have additional rights and may contact your local data protection authority. We will communicate material changes to this policy before changing how we use your information.
